1. PDF or email intake
Business documents arrive as PDFs, email attachments or document-based messages. They are readable for people, but not yet directly usable by ERP, EDI or API processes.
2. Fingerprint and layout recognition
Recurring known layouts are identified or activated for a defined scope. This avoids treating every PDF as a new OCR-only case.
3. Structured data extraction
Relevant business fields are transformed from the recurring layout into structured data. The exact fields depend on the document type and approved process scope.
4. Validation and process control
Extracted fields are checked against defined rules, required fields and expected structures before they are passed to downstream processes.
5. Human-in-the-Loop for uncertainty
Unknown, changed or ambiguous documents should be routed to controlled review instead of being treated as no-touch cases by default.
6. Output to ERP, EDI, API or monitoring
Validated structured data can be handed over to the configured downstream process, such as ERP, EDI, API or archive/monitoring processes, depending on implementation.
7. Archive, monitoring and operational visibility
The process remains transparent: status, timestamps, exceptions and processing results can be made visible for operations.
